2019 Annual Meeting: Instructions for Submitting Each Type of Proposal

Be aware that some users are not receiving email confirmations, so take care to find the link to the Proposal Submission Portal on your confirmation webpage. See Tips for After-Hours Submissions and Is Your Email Server "Protecting You" from AFS Messages? in the AFS Review.

New this year: Session chairs will submit a proposal for the session as a whole, but all preorganized session participants must submit their own proposals. This step gives meeting participants better control over their own personal information.

Instructions for Preorganized Session Chairs

This year, before March 31, you must:

  • Register for the meeting; use (and bookmark!) the link to the Submission Portal on your confirmation webpage and/or email (Subject line: “Thank you for registering for the event.”). If you can't find the link, contact us.
  • Submit a proposal for the session as a whole; the submission portal will guide you through each step.
  • If presenting a paper in the session, submit your own individual presentation information
  • Use the link on your Submission Summary page to add panelists. If you are proposing a forum, you will submit the four-digit Personal ID for each of your panelists. If you are proposing a paper/diamond/media session, you will submit the four-digit Presentation ID (not Personal ID) for each panelist

You may start your session proposal before you have all of your panelists' submission ID numbers, but you won't be able to complete it until you do.

At present, you will not be able to re-order your panelists. If you need to do so, contact us.


Instructions for Paper/Diamond/Media Session Presenters and Discussants in Preorganized Sessions

This year, by March 15, you should:

  • Register for the meeting; use (and bookmark!) the link to the Submission Portal on your confirmation webpage and/or email (Subject line: “Thank you for registering for the event.”). If you can't find the link, contact us.
  • Sign up/in at the proposal submission portal to:
    • Submit your personal information (name and email required, affiliation optional) and indicate your privacy preferences. You will receive a four-digit Personal ID in the confirmation that your submission is complete (see your Submission Summary via the Submission Menu, or your confirmation email with the subject line: “Your AFS Personal Information Has Been Submitted").
    • Submit your preliminary presentation information; it's ok if you leave every field blank to begin. When you hit "submit," you will get a Presentation ID in the confirmation that your submission has been received (see your Submission Summary or the confirmation email with the subject line “Your AFS Individual Presentation Information Has Been Submitted”). Discussants should enter "discussant" as the presentation title, and leave the abstract field blank.
  • Give your four-digit Presentation ID (not your Personal ID) to your session chair, who must submit it as part of the session proposal that is due March 31. You will not be included in the session unless you complete this step.

You may complete or edit your individual presentation information (title, 100-word abstract, keywords, AV needs) through the March 31 deadline.


Instructions for Forum Participants

This year, by March 15, you should:

  • Register for the meeting; use (and bookmark!) the link to the Submission Portal on your confirmation webpage and/or email (Subject line: “Thank you for registering for the event.”). If you can't find the link, contact us.
  • Sign up/in at the proposal submission portal to submit your personal information (name and email required, affiliation optional) and indicate your privacy preferences. You will receive a four-digit Personal ID in the confirmation that your submission is complete (see your Submission Summary via the Submission Menu, or your confirmation email with the subject line: “Your AFS Personal Information Has Been Submitted").
  • Give your Personal ID to your session chair, who must submit it as part of the session proposal that is due March 31. You will not be included in the session unless you complete this step.


Instructions for Individual Paper/Diamond/Media Proposals

This year, before March 31, you must:

  • Register for the meeting; use (and bookmark!) the link to the Submission Portal on your confirmation webpage and/or email (Subject line: “Thank you for registering for the event.”). If you can't find the link, contact us.
  • Sign up/in at the proposal submission portal to:
    • Submit your personal information (name and email required, affiliation optional) and indicate your privacy preferences. You will receive a confirmation page and email that your personal information submission has been received.
    • Submit your presentation information (title, 100-word abstract, 500-word abstract, keywords, AV needs). You will receive a confirmation page and email that your personal information submission has been received.
