2017 AFS Annual Meeting Essential Information

The 2017 AFS annual meeting will take place in Minneapolis, Minnesota, on October 18-21. Here is information you will need to make your plans for the meeting:

Most annual meeting events will take place in the host hotel, the Marriott City Center.

The nightly conference rate for a room with single or double occupancy is $165 US plus tax. We have reserved a limited block of rooms for students at the nightly rate of $135 US plus tax.

4. Tours and Workshops

 Though most of the program, including professional development workshops and a Saturday evening social event, will be free and open to all registrants, a few special events require additional pre-registration before August 31. See

6. “Adventures in Archiving” Conference

The AFS Archives and Libraries Section is hosting “Adventures in Archiving,” a two-day conference on archives and library-related issues, on October 16-17, the Monday and Tuesday immediately before the AFS Annual Meeting. 7. Mentoring Opportunities

 Consider being a part of the AFS Mentoring Program. This program pairs students or new professionals with established professionals so that each may get to know the other better. The Mentoring Committee will accept applications from mentors and mentees until August 1. For more information, see the AFS Review:

 The Local Planning Committee has prepared an invaluable Local Guide to the Twin Cities' diverse neighborhoods, with recommendations for getting around and things to do; see

 9. Updated Policy on Withdrawals and Refunds

 Once a paper or session is submitted, it is expected that the presentation will take place at the annual meeting if the proposal is accepted. Participation in the meeting program is competitive, and a cancelled presentation creates a hole in the program and eliminates a spot that could have accommodated another presenter. As a courtesy to AFS members, conference presenters, and attendees, AFS strongly discourages presenters from canceling their participation in the annual meeting after proposals have been accepted. Those who find that they can't attend the meeting are encouraged not to cancel, but to find someone else to read their papers.

The refund policy is as follows:

  • Program participants (chairs, presenters, discussants, etc.) who withdraw a presentation may request a refund of meeting registration fees until August 31, but a $75 cancellation fee will be retained ($35 for students and low-income participants); after August 31, no refunds will be issued.
  • Registrants who are not named on the program may receive a full refund until August 31; after that, no refunds will be issued.
  • Presenters who withdraw a presentation after October 1 may not present at the next year’s annual meeting.

The cancellation fee will not be charged for those who can't attend because of visa difficulties; we will consider other exceptions on a case-by-case basis.
