Personalize Your AFS Virtual Annual Meeting Virtual Nametag

Quick instructions:

  1. Download and fill in the PDF file.

  2. Export the PDF as a JPEG.

  3. Upload the JPEG to Zoom.

  4. Check the “mirroring” settings.

Detailed instructions: 

  1. Download the PDF file found here. You’ll notice that the PDF currently has four lines of text: Name, Affiliation, Pronouns, and Roles and/or sections; those labels are suggestions, but you can enter any text on those lines. You can select the labels and replace them with your own text.

  2. Save the file as a PDF and then Export is as a JPEG. To do this, there should be some option in the “File” menu of your PDF app that allows you to “Export.” Click that, then select the JPEG extension, which is a type of Image file. Once you have the correct extension, save it to a place on your computer where you can easily find it (such as your Desktop).

  3. Open Zoom to upload your image. There are two ways to upload your background image, one of them if you’re in a meeting, the other if you’re not. If you do not have the Zoom app downloaded to your computer, you should plan to upload your image at the start of a meeting.

(Note that your own menu bar and dropdown list may look slightly different than this image, but this is where the Virtual Background option is located.)

Next, click the small little plus box [+] to upload your JPEG, which should then appear in the menu of available options as seen below.

(Note that your backgrounds may be different than the ones above, especially if you have already uploaded your own images before.)

    In the Settings menu, click “Virtual Background” on the left-hand toolbar. Upload your image using the small plus box [+] on the right.

    On a Mac, this same menu can be reached by clicking “zoom” in the computer menu bar in the top left corner (next to the apple icon) and then clicking “Preferences.”

    1. Check the mirroring settings. You’ll notice that the text may appear backwards on the screen or that you may appear backwards. To change this, check or uncheck the “Mirror my video” box in the Virtual Background menu (seen in the above image). This box can also be reached by clicking the small arrow next to “Start Video” during a meeting and selecting “Video Settings.”

    *IMPORTANT*: What you see on your screen is not necessarily what others see on their screens! When it comes to virtual backgrounds on Zoom, your image does not change for other people when you check/uncheck the “Mirror my video” option. That is only for your personal preference. So, if the text looks correct on your screen but your reflection appears backwards, you can switch it so that the text reads backwards and your reflection returns to normal and your video will still look the same for all viewers. Don't intentionally reverse your nametag before uploading it because people will see it backwards.

    Can’t/Don’t want to use the virtual nametag? There are a number of reasons why this may not be an option for you: for instance, your computer or operating system may not support it, and it may over-burden your internet connection, since it requires more bandwidth.

    If the virtual name tag won’t work, you can change your Zoom display name:

    1. Hover over your own image in the Zoom screen

    2. Click the three dots to the top right of your image

    3. Select “Rename”

    4. Enter your professional name. If you are the chair or Zoom moderator, add that to your display name. 

    5. Add any other brief, salient information that you’d like to share.
