Virtual Posters Are a Great Option for 2020 Meeting Presentations

A virtual meeting platform creates new possibilities for ways to share information and interact with colleagues. As a result, we’re now introducing a virtual poster option for 2020 meeting presenters who may want to change their plan about how to present their research.


What is a virtual poster?

Similar to an in-person poster, a virtual poster is a digital file that mixes text with other static visual media, such as tables, graphs, and pictures. Instead of being printed out and displayed physically, your virtual poster will be a PDF file that you upload to a secure online portal before the conference. 


Where will my poster be discussed?

During the conference, attendees will be able to view it at any time and leave feedback by submitting comments online. 

At a scheduled time during the conference, poster presenters will have the opportunity to participate in moderated Q&A sessions over Zoom, where attendees can interact with the presenters in real time to discuss their research.


Why should I present using a virtual poster?

Virtual posters are great options for a number of different reasons:

  • Fewer potential technical difficulties: With a poster, there is no need to pre-record your presentation or worry about managing audiovisual media while presenting live. Once you have created and uploaded your poster to the website, there is nothing more you need to do to ensure your poster is displayed.
  • Ease of presentation: During your Q&A session, all you need to do is attend your scheduled Zoom section and be available to discuss the work you have already submitted. There is no need to worry about time constraints, working with audiovisual media, or spontaneous technical issues on your end.
  • Accessibility: Having your poster available for viewing throughout the meeting ensures that your colleagues will have ample opportunity to learn about your research during the conference, regardless of their schedules.

How do I make a virtual poster?

Most software you would use to design a physical poster can also be used to create a virtual poster. Programs like Microsoft PowerPoint, Microsoft Publisher, Adobe InDesign, Adobe Illustrator, and many equivalent open source programs can be used to create a poster in PDF format.

As we continue to build toward our meeting, AFS will be in touch with more information about technical specifications and submission and presentation logistics. 


What should I do if I want to present a virtual poster?

If you submitted a proposal that was accepted for the 2020 Annual Meeting, you received an email on June 30 that asked you to submit your preferences by July 15. You will have an opportunity to submit your preference for a poster when you follow the instructions in the email. If you already submitted your preferences and would now like to update them, contact AmericanFolkloreSociety@afsnet.org.
